Turano Baking Company is currently seeking an Executive Assistant to join our organization. This position is responsible for supporting the Vice President of Sales & Marketing, as well as providing additional administrative support to other executives of the organization.

Responsibilities:

  • Screen calls for Executive Offices and handle calls appropriately
  • Announce and escort guests for Executive Offices/Managers
  • Schedule appointments and maintain calendar for Executive Management
  • Handle all correspondence (incoming and outgoing) for Executive Management
  • Arrange travel (airline, hotel, car rental) for all Managers as needed, in particular, for Executive Management
  • Reconcile AMEX receipts/invoices for Executive Management, as well as support with processing expense reports for Sales Representatives
  • Maintain and update weekly sales report for bakeshop
  • Maintain and update the weekly usage report for certain ingredients for all plants
  • Coordinate the registration and attendance of various Conventions, Conferences, Seminars, and Tradeshows
  • Update weekly Sales/Goals Comparison report for Local Sales Reps.
  • Maintain Sales Attendance Calendar
  • Update the New/Lost Business Analysis report quarterly
  • Update/Maintain product listings in GDSN (Global Data Synchronization Network), an internet based data management program for distributors
  • Update/Maintain the Retail Promotions calendar, as requested
  • Update and copy the Local Sales Product Guide as needed
  • Update/Maintain the Local Sales Signage spreadsheet
  • Provide product Nutritional information to customers as needed
  • Update, print and bind Presentations for Executives and Managers as needed
  • Other duties as assigned

Requirements:

  • 3+ years of experience as an Administrative/Executive Assistant supporting Senior level executives
  • Previous experience with flawless execution of professional meetings and other corporate events
  • Self-starter with strong organizational skills and ability to prioritize tasks appropriately
  • Excellent interpersonal and communication skills; a true team player able to maintain a professional and courteous demeanor even under pressure
  • Attention to detail and commitment to maintaining confidentiality
